Role profile:
To support the work of the corporate health and safety service, as they work to advise, guide, monitor and review health and safety across all of Ealing Council activities. You will be required to be customer focused, organised, accurate with detail and influential in the development of a positive health and safety culture. Including helping to ensure that health and safety services are efficient, streamlined, and accessible. The work is demanding but very interesting and varied with significant scope for progression and expansion of role.

Key objectives:
  • To support corporate health and safety (CHS) colleagues by maintaining data and IT systems and eventually acting as the team lead in these areas
  • To promote the service (CHS), and health and safety management systems across the council
  • To provide information to managers and staff with the aim of supporting the management of work-related injuries and ill health
  • To organise and promote corporate health and safety digital content, applications, and training programmes
  • To lead for CHS in processing payments to suppliers and making internal and external charges.


Duties

Role and responsibilities:
  • Be the first point of contact for CHS enquiries – monitor the mailbox and disseminate enquiries as appropriate
  • Maintain the accident and incident and risk assessment database and produce reports and statistics as required
  • Work and assist the People, Organisation and Development (POD) service in arranging face-to-face/on-line training courses as requested and to maintain records
  • Maintain records of Personal Emergency Evacuation Plans (PEEPS) and update and review records at least annually for corporate sites
  • Maintain and update as required the health and safety corporate webpage with documents, forms, and information
  • Eventually become responsible to review and update as requested health and safety guidance documents and forms
  • Where required raise purchase orders, arrange payment of invoices and maintain records of all budgetary transactions
  • Provide support to the service on a day-to-day basis including minute taking and drafting of reports and guidance documents
  • Undertake other duties as directed by line managers as appropriate to the post
  • Ensure that good practice, customer care and health and safety are fully blended into day-to-day activities
  • Set up and complete a project relevant to your role
  • Provide project support across the team as necessary.
An ability to complete a complex and demanding learning programme with external examinations is a requirement for Ealing Council vacancies.

Essential criteria

  • Excellent communication skills with clear spoken and written English

  • Excellent knowledge and understanding of Microsoft Office (specifically Word, Excel, PowerPoint)

Additional information

Hours of work
35 hours per week – 09:00 – 17:00 Monday – Friday, with 1-hour lunch break (some evenings for events).

Annual holiday entitlement
36 days paid holiday for 18 months, plus 3 additional days (to cover Christmas and New Year).

Level 3 business administration
Learning agreement of 18 months.

Salary
*£19,064.50
*Starting rate at UK Living Wage currently £9.90ph which increases on successful completion of probation (usually after 6 months) to London Living Wage currently £11.05ph.
